GENERAL DESCRIPTION

The Payroll Specialist ensures accurate, timely, and compliant payroll processing for all Tech Systems employee-owners. This position supports full-cycle payroll functions, facilitates system reporting, assists in reconciliation, and partners with HR and Finance to uphold best practices. The Payroll Specialist is expected to take initiative, own assigned tasks with minimal oversight, and support continuous improvement in payroll operations.

 

POSITION RESPONSIBILITIES AND EXPECTATIONS
·        Lead weekly review and reconciliation of employee-owner timesheets in coordination with supervisors and managers.

·        Verify payroll registers and identify discrepancies before each bi-weekly processing cycle.

·        Maintain accurate and up-to-date payroll and employee-owner records in alignment with company policies and federal/state regulations.

·        Complete employment verifications (written and verbal) promptly and professionally.

·        Prepare and submit certified payroll reports, 401(k) data, and internal payroll-related reporting requests.

·        Track and reconcile employee-owner paid time off (PTO), including manual adjustments and audits for accuracy.

·        Reconcile payroll-related billing statements such as insurance premiums, credit card expenses, and benefit deductions.

·        Partner with HR and Finance to validate payroll inputs (e.g., benefit deductions, wage garnishments, retro pay, adjustments, and tax filings).

·        Serve as the primary point of contact for employee payroll inquiries; resolve issues or escalate to the Payroll Manager when necessary.

·        Identify opportunities for process improvement and assist in testing payroll system changes, particularly in Paycor.

·        Maintain system-generated reports and ensure data integrity across platforms.

·        Support audits, internal reviews, and system conversions as needed.

·        Perform additional duties as assigned by the Payroll Manager, Controller, or executive staff.

 

MINIMUM QUALIFICATIONS

A.  EDUCATION

·        High School Diploma or equivalent (required).

·        Associate’s degree or relevant college coursework in accounting, business, or finance (preferred).

B.  EXPERIENCE

·        2+ years of payroll and/or accounting administrative experience required.

·        Experience with multi-state and/or remote employee payroll preferred.

·        Familiarity with federal and state wage laws, benefit deductions, and payroll tax concepts required.

·        Experience with Paycor or similar payroll software is highly preferred.

C.  KNOWLEDGE, SKILLS, & COMPETENCY

·        Proficient in Microsoft Office Suite with strong formulas and data manipulation skills.

·        Excellent organizational skills and high attention to detail.

·        Strong written and verbal communication skills.

·        Ability to manage competing deadlines while maintaining accuracy.

·        Demonstrated analytical and problem-solving skills related to payroll reconciliation.

·        Ability to work independently in a fully remote environment.

·        Maintains strict confidentiality and sound judgment in handling sensitive data.

·        Comfortable supporting a high-performance payroll environment with evolving systems.

D.  DRIVER’S LICENSE

·        Valid driver’s license required.

·        Must have a driving record acceptable to Tech Systems’ insurance carrier.

E. PHYSICAL DEMANDS AND WORKING CONDITIONS

This partially remote position requires reliable internet access and a home office setup. Standard business hours are Monday through Friday, 8:00 AM to 5:00 PM Eastern Time, with occasional flexibility based on payroll processing deadlines.
